Introduction

This Privacy Policy explains how VEXBLOCK LLC, a Florida limited liability company (“VEXBLOCK,” “we,” “us,” or “our”), collects, uses, discloses, and protects information in connection with vexblocksolutions.com and any related pages we operate (the “Site”).

VEXBLOCK is a professional-services company serving commercial, government, institutional, and select residential properties in Tampa Bay. The Site is an informational and business-development website. It is not a customer portal, it does not host accounts, and it does not process payments.

This Policy applies to information collected through the Site and through the email and telephone channels published on it. It does not apply to:

  • information we receive or generate in the course of performing services under a signed services agreement, which is governed by that agreement;
  • employment and personnel records of our employees and contractors after engagement, which are governed by our internal personnel policies; or
  • websites, platforms, or services operated by third parties, including those we link to or embed.

Please read Section 4 carefully. It describes the cookies and similar technologies used on the Site and the choices available to you.

Summary

This summary is provided for convenience. It is not a substitute for the full Policy.

Information we collect

Information you provide to us

Request a Quote form. Name; business, organization, or property-management company (if applicable); email address; telephone number; property type; property location (city and, where provided, address); the service or scope of work you are asking about; and any additional description, specification, or solicitation detail you choose to include.

Join VEXBLOCK form. Name; email address; telephone number; the geographic area and type of work you are interested in; a description of your relevant experience; and, if you attach one, a resume or similar document. Attached documents frequently contain information beyond what the form requests — please submit only what you intend us to have. Do not submit your Social Security number, driver’s license number, financial account information, medical or health information, or any other sensitive identifier through the Site. We do not request that information at the inquiry stage and have no need for it.

Direct correspondence. If you email, call, or write to us using the contact information published on the Site, we receive whatever you choose to include, together with routine transmission details such as the sending address, date, and time.

Submitting a form is voluntary. The fields marked required are the minimum we need to respond intelligently; if you would rather not complete them, you are welcome to call us instead.

Information collected automatically

When you visit the Site, certain information is transmitted or generated as a normal function of the internet and of the services that host and protect the Site:

  • IP address and general connection information;
  • browser type and version, operating system, device type, and screen or viewport characteristics;
  • referring URL, the pages and files you request, and the dates and times of those requests;
  • approximate location inferred from IP address, at roughly the city or regional level. We do not collect precise geolocation from your device, and the Site does not request location permission; and
  • server, security, and error logs generated by our hosting and content-delivery provider.

Information from other sources

We may receive business contact information and organizational details from you or your colleagues in the ordinary course of correspondence, from publicly available sources such as government procurement portals and public business registries. We do not purchase consumer marketing lists or prospect lists.

Sensitive information

We do not seek to collect, and ask that you not submit, categories of information treated as sensitive under applicable law — including racial or ethnic origin, religious beliefs, health or medical information, sexual orientation, citizenship or immigration status, genetic or biometric data, precise geolocation, or government identification numbers. If you submit such information anyway, we will handle it in accordance with this Policy and delete it when it is no longer needed.

Cookies and similar technologies

The Site uses cookies and similar technologies only where they are needed to deliver and secure it. A cookie is a small text file placed on your device; the related technologies work differently but serve comparable functions.

CategoryWhat it doesWho sets itCan you refuse it?
Strictly necessaryDelivers and secures the Site; routes traffic; mitigates attacks, bots, and fraudulent form submissions.VEXBLOCK and our hosting/security provider (Cloudflare)The Site cannot function properly without these. They are not used for advertising.

Cookies are either session cookies, which expire when you close your browser, or persistent cookies, which remain for a defined period or until deleted. Third-party cookie lifetimes are set by the third party, not by us; current lifetimes for the services named in this Policy are published in those services’ own documentation.

No cookie banner is used. The Site sets no analytics, advertising, or tracking cookies, and no United States privacy law — Florida’s included — requires opt-in consent for the strictly necessary technologies that remain. The Site therefore relies on notice through this Policy. Our position is stated in full in Section 5, including the specific circumstances that would change it.

Consent

Consent requirements for cookies and similar technologies depend on where the visitor is located and which technologies are in use. Our approach is as follows.

  • Strictly necessary technologies (Section 4) are used without consent, as permitted under applicable law, because the Site cannot be delivered or secured without them.
  • Analytics technologies are not used on the Site. If any are ever added, they would be deployed on the basis of notice through this Policy and the controls described in Section 9, which is both the prevailing practice for United States visitors and sufficient under applicable United States law.
  • Advertising and targeting technologies are not deployed. If they are added, the applicable United States requirement is an opt-out, not prior opt-in consent — which is why a “Do Not Sell or Share My Personal Information” link and Global Privacy Control handling must be added to the Site, and this Policy revised, in the same release as any such tag.
  • The Site is directed to businesses, government and institutional entities, and residents located in Tampa Bay. It is not directed to the European Economic Area, the United Kingdom, or Switzerland, and we do not market, solicit, or offer services there.

Why there is no cookie banner. Consent banners exist principally to satisfy the European Union’s ePrivacy Directive and the GDPR, which require opt-in consent before non-essential cookies are set. No United States state privacy statute imposes that requirement, and Florida law does not require one. The U.S. framework is notice plus opt-out, which this Policy and Section 9 provide. A banner that collects consent VEXBLOCK does not rely on, and that could not be honored by any mechanism actually implemented on the Site, would add friction without adding protection.

Confirmed scope. VEXBLOCK markets and provides services in the State of Florida only. It does not market to, solicit, or knowingly offer services to individuals in the European Economic Area, the United Kingdom, or Switzerland. The Site uses no session-recording, session-replay, or heat-mapping tooling — no Hotjar, FullStory, Microsoft Clarity, or comparable product — and none is planned.

What would change that. A consent-management platform should be reconsidered only if VEXBLOCK begins marketing to or knowingly serving visitors in the EEA, the United Kingdom, or Switzerland; if a government or institutional client’s contract terms require one; or if session-recording, heat-mapping, or similar behavioral-capture tooling is added to the Site. That last category — not analytics cookies — is the technology currently attracting wiretapping and interception claims in the United States, and adding any such tool should be treated as a legal question before a technical one.

VEXBLOCK operates in the State of Florida. If that ever changes — if VEXBLOCK markets to, or knowingly offers services to, individuals in the EEA, the United Kingdom, or Switzerland — this Policy will require a substantive addendum addressing legal bases for processing, international transfer mechanisms, and data-subject rights. It contains none today, because the business does not present that exposure. Nothing in this Section prevents anyone located outside Florida from reading the Site; it describes who we serve and market to, which is what determines the obligation.

How we use information

We use information for the following purposes:

  1. To respond to your inquiry. Reviewing what you submitted, contacting you about it, asking follow-up questions, scheduling a walkthrough, and preparing a quote, estimate, or proposal.
  2. To respond to solicitations and scopes of work, including preparing bids and responses for government, institutional, and commercial procurement processes.
  3. To provide services and administer the business relationship if you become a client.
  4. To evaluate expressions of interest in working with VEXBLOCK, including contacting you about current or future opportunities and keeping your submission on file.
  5. To operate, secure, and improve the Site, including performance monitoring, error diagnosis, and protection against spam, bots, abuse, and fraudulent submissions.
  6. To communicate with you about your inquiry, our services, and — only if you have asked for it — general updates.
  7. To comply with law and with the recordkeeping, reporting, certification, audit, and disclosure obligations that apply to contracted and public-sector work.
  8. To establish, exercise, or defend legal claims, and to enforce our Terms of Use.

We do not use information submitted through the Site for any purpose materially different from those described above without providing notice and, where required, obtaining consent.

How and with whom we disclose information

We do not sell personal information. We disclose it only as described here.

Service providers. We use third-party service providers that process information on our behalf, under contract, and for our purposes rather than their own:

ProviderFunctionInformation involved
Cloudflare, Inc.Hosting, content delivery, DNS, network security, bot mitigation, and the CAPTCHA/human-verification challenge on our formsTechnical and connection data, server logs, IP address, challenge results
Google LLC (Google Workspace)Business email and calendarCorrespondence and its contents
Google LLC (Google Sheets / Drive)Internal, access-restricted log of form submissionsForm submission contents
Resend (Plus Five Five, Inc.)Transactional email delivery — our internal notification and your confirmation messageYour name and email address, and the message content

We require our service providers to protect the information they process for us and to use it only as we direct. No provider named above processes information from the Site for its own purposes.

Others, in defined circumstances. We may disclose information: to our professional advisors, including attorneys, accountants, and insurers, in confidence; to a prospective or actual acquirer in connection with a merger, financing, reorganization, or sale of assets, subject to confidentiality and to this Policy continuing to apply to information so transferred; to a government or institutional contracting party where disclosure is required by the terms of a solicitation, contract, or applicable public-procurement law; and to comply with law, subpoena, court order, or lawful governmental request, or where we believe in good faith that disclosure is necessary to protect the rights, property, or safety of VEXBLOCK, our personnel, our clients, or the public.

Aggregated and de-identified information. We may create and use aggregated or de-identified information that cannot reasonably be used to identify you. We will not attempt to re-identify it, except to test the adequacy of our de-identification.

Public-sector submissions and public records

If you submit information to us on behalf of a government or public agency, or in connection with a public solicitation, please be aware that records exchanged with public agencies — including our correspondence, bids, and proposals — may be subject to disclosure under Florida’s public-records law, Chapter 119, Florida Statutes, or the comparable law of the submitting jurisdiction. VEXBLOCK does not control the public-records obligations of a public agency, and this Policy cannot exempt a record from disclosure that the law requires to be disclosed.

If you believe material you send us is exempt, confidential, or proprietary, please identify it as such at the time of submission so that it can be handled accordingly. Material so identified is held in the same access-restricted systems described in Section 12, is not disclosed outside VEXBLOCK except where a solicitation, contract, or public-records law requires it, and is returned or deleted on request.

Your choices and how to exercise them

Browser and device controls. Most browsers let you block or delete cookies, block third-party cookies specifically, and browse in a private mode. Blocking strictly necessary cookies may break the Site.

Global Privacy Control. We treat a GPC signal as a valid opt-out of sale/sharing and of targeted advertising for the browser transmitting it, to the extent any such activity occurs on the Site.

Do Not Track. Browsers may transmit a “Do Not Track” header. There is no common industry standard for interpreting it, and — like most operators — the Site does not currently respond to DNT signals. We do honor GPC, which is a defined, machine-readable signal.

Email. Our transactional messages — the confirmation that we received your submission, and our substantive reply — are part of responding to you and are not marketing. If we send any commercial message, it will include an unsubscribe mechanism, and we will honor it promptly. You may also ask us to stop contacting you at any time using the contact details in Section 16.

Telephone and text. You may tell us to stop calling or texting, by any reasonable means, including by replying STOP to a text message or telling the caller. We will honor it. See Section 9 of the Terms of Use regarding what your form submission does and does not authorize.

Requests to access, correct, or delete. See Section 10.

State privacy rights

Applicability, stated honestly. Most state consumer-privacy statutes apply only to businesses meeting revenue or data-volume thresholds. VEXBLOCK is a Tampa Bay professional-services company and does not presently meet the applicability thresholds of the California Consumer Privacy Act as amended, the Virginia Consumer Data Protection Act, the Colorado Privacy Act, the Connecticut Data Privacy Act, the Utah Consumer Privacy Act, or the comparable statutes of other states.

Florida. The Florida Digital Bill of Rights, Fla. Stat. § 501.701 et seq., applies principally to entities with more than $1 billion in global gross annual revenue that meet additional criteria. VEXBLOCK is not such an entity, and the statute’s controller obligations do not apply to it. Florida’s Deceptive and Unfair Trade Practices Act and Section 5 of the FTC Act do apply, and both require that what this Policy says be true.

What we do anyway. We think the rights below are the right way to treat people, and we extend them to every visitor regardless of residence and regardless of whether a statute compels it. Subject to verification and to legal limits, you may ask us to:

  1. Confirm whether we process personal information about you, and access a copy of it;
  2. Correct inaccurate personal information;
  3. Delete personal information we hold about you;
  4. Obtain a portable copy of information you provided to us, in a readily usable format;
  5. Opt out of targeted advertising, of any sale or sharing of personal information, and of profiling in furtherance of decisions producing legal or similarly significant effects — noting that we do not engage in the third of these;
  6. Limit our use of sensitive personal information — noting that we do not seek to collect it; and
  7. Not be discriminated or retaliated against for exercising any of these rights. Exercising them will not affect the price, quality, or availability of our services or the consideration of an expression of interest.

How to submit a request. Email contact@vexblocksolutions.com with the subject line “Privacy Request,” or call (656) 201-0087. Please tell us what you are asking for and provide enough detail for us to locate your information — typically the email address or phone number you used, and the approximate date of your submission.

Verification. We will take reasonable steps to verify that the request comes from you or your authorized representative, generally by corresponding through the email address or phone number in the record. We will not create an account or require you to create one in order to make a request. If we cannot verify a request, we will tell you why.

Authorized agents. An authorized agent may submit a request on your behalf with written authorization, which we may ask to confirm directly with you.

Timing. We will respond within 45 days of receiving a verifiable request, and will tell you if we need a permitted extension of up to an additional 45 days and why.

Limits. We may decline a request in whole or in part where an exception applies — for example, where retention is required by law, by the recordkeeping obligations of a government contract, or for the establishment or defense of legal claims; where deletion would compromise the integrity of a security or fraud-prevention record; or where the information is de-identified or aggregated. If we decline, we will explain why.

Appeals. If we deny your request, you may appeal by replying to our response with the word “Appeal.” A person not involved in the original decision will review it and respond within 45 days with our decision and reasons. If we deny the appeal, we will tell you how to contact the applicable state attorney general to submit a complaint.

California-specific notes. California residents may request the categories of information listed in Civil Code § 1798.110 and § 1798.115, and may exercise the rights above. Our disclosures of personal information in the preceding twelve months are described in Section 7. We have no actual knowledge of selling or sharing the personal information of consumers under 16 years of age. We do not offer financial incentives in exchange for personal information.

Retention

We keep information only as long as we have a reason to, then delete it.

InformationRetention
Quote requests that do not lead to an engagementFive years, then deleted, so that we can recognize a returning prospect and respond intelligently
Client records, contracts, and correspondenceFor the term of the engagement and afterward for the period required by applicable contract, tax, insurance, and limitations law — generally not less than seven years
Government and institutional bid and contract recordsFor the period required by the solicitation, the contract, and applicable public-procurement recordkeeping law, which may be longer than our general periods
Expressions of interest and resumes, where no engagement followsTwelve months, then deleted, subject to any applicable equal-employment-opportunity recordkeeping obligation
Email correspondenceFive years, then deleted — except correspondence belonging to a client engagement, which follows the client-record period above
Server and security logsAs set by our hosting and security provider’s standard configuration — typically short, measured in days to weeks

Where information is retained in backups or in archived email, deletion may take effect on the normal expiration of those systems rather than immediately.

Security

We use administrative, technical, and physical safeguards appropriate to the nature of the information we hold and the size of our organization. These include transport encryption (HTTPS) for the entire Site, access restricted to personnel who need it, multi-factor authentication on business accounts, reputable hosting and email providers, and automated challenge and rate-limiting measures on our forms to deter bots and abuse. Devices used to access submitted information are passcode-protected and encrypted.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Please do not send sensitive personal information — see Section 3.1 — through the Site or by unencrypted email. If we become aware of a security incident affecting personal information, we will respond in accordance with applicable law, including Florida’s breach-notification statute, Fla. Stat. § 501.171.

Third-party links, embedded content, and social media

The Site may link to third-party websites, including government procurement portals. It embeds no third-party content — no maps, video, scheduling tools, or social media widgets. If embedded content is ever added, it will be disclosed here before it ships, because such content can collect information about you — including that you loaded the page containing it — and can set its own cookies, whether or not you interact with it. Following a link takes you to a site we do not control. Their privacy policies, not ours, govern what they do. We encourage you to read them.

The Site’s forms are protected by Cloudflare Turnstile, a human-verification service. Turnstile is used to prevent automated abuse of our forms; Cloudflare processes technical signals about the request for that purpose.

Children’s privacy

The Site is directed to businesses, government and institutional entities, property managers, and adult residential clients. It is not directed to children, and we do not knowingly collect personal information from anyone under 13 — or, for the rights described in Section 10, under 16. If you believe a child has submitted information to us, contact us at contact@vexblocksolutions.com and we will delete it. We do not knowingly consider expressions of interest in employment from individuals under 18 years of age.

Changes to this Policy

We may update this Policy to reflect changes in our practices, our technology, or the law. When we do, we will revise the “Last updated” date above. If we make a material change — in particular, if we begin using advertising or targeting technologies, add a category of information, or use information for a materially different purpose — we will provide more prominent notice, such as a notice on the Site’s home page, before or when the change takes effect. Material changes will not be applied retroactively to information already collected without your consent where consent is required.

We recommend reviewing this page when you submit information to us.
